Beginning-of-the-Year Music Teacher Checklist for a Smooth Start

The beginning of a new school year brings fresh energy, new students, and a chance to reset in your music classroom. At the same time, it can also bring a long to-do list. Between tuning instruments, organizing materials, decorating bulletin boards, and preparing lessons, it is easy to feel overwhelmed before the first bell even rings.

That is why I put together this Beginning-of-the-Year Music Teacher Checklist. Whether you teach vocal music, band, general music, guitar, or piano, these categories can help you stay focused and feel more prepared for a smooth start.

1. Classroom Setup

A well-organized classroom helps create a focused and welcoming learning environment from day one.

Here are a few things to check off before students arrive:

  • decorate bulletin boards with helpful and engaging visuals
  • set up and label storage for instruments and materials
  • clean, organize, and tune classroom instruments if needed
  • arrange chairs, music stands, risers, and piano bench
  • prepare name tags, binders, folders, or music portfolios
  • post daily routines, warm-up prompts, and anchor charts

I like to begin the year with a few visuals that are both practical and inviting. For example, a vocal warm-up routine poster, a rhythm-of-the-day chart, or a fun display like a mystery composer corner can make the room feel purposeful right away.

2. Planning and Curriculum

A little planning at the start of the year makes everything feel more manageable later on.

Some important back-to-school planning tasks include:

  • review long-range plans for each course or grade
  • choose repertoire for ensembles or piano students
  • prep the first few weeks of lessons and activities
  • finalize or adjust unit plans for theory, listening, or performance work
  • print or upload handouts and answer keys
  • prepare a diagnostic activity or entry assessment
  • plan first-week icebreakers and team-building activities
  • review IEPs and language support documents

If you like having ready-to-use theory materials at the beginning of the year, this is also a great time to prep those in advance.

3. Admin and Tech

Next, make sure your digital systems are ready to go. A few small tech checks can save a lot of stress once classes begin.

My beginning-of-year admin and tech checklist usually includes:

  • update your LMS or digital classroom platform
  • upload your syllabus, expectations, or welcome materials
  • set up your digital gradebook
  • test classroom tech such as speakers, projector, Bluetooth, and microphones
  • log into your most-used teaching apps and tools
  • prepare quick-access links or QR codes for resources students will use often

I also like to keep a simple folder or landing page with warm-up videos, accompaniment tracks, and theory practice links. That way, transitions are much easier once the school year gets busy.

4. Communication and Community

In addition to logistics, the beginning of the year is also a good time to build relationships and create a welcoming classroom culture.

A few things to prepare include:

  • an introductory email to students and families
  • a welcome newsletter or course information sheet
  • a meet-the-teacher slide or short introduction
  • materials for back-to-school night
  • concert and event dates added to the calendar
  • early communication with office staff, custodians, and the arts team

A warm and thoughtful start helps students feel seen and supported, and it also sets a positive tone for the rest of the year.

5. Performance Prep and Extras

Even if your first concert or showcase is still weeks away, it helps to lay some groundwork early.

You might want to:

  • schedule piano tuning or instrument maintenance
  • book accompanists or guest clinicians if needed
  • organize sheet music and assign folders or numbers
  • think through a simple first performance goal
  • update your music library or repertoire list

Even having one piece chosen and ready to go can help students feel excited and focused from the beginning.

Final Thoughts

There is no such thing as a perfect start to the school year. However, a few clear systems can go a long way toward helping you feel calm, prepared, and creative.

This checklist is meant to help you focus on what matters most so you can step into the new year with more confidence and less chaos.
